Vetting database system

The main objective of the vetting process is to ensure that the all the transport operations (barges, seagoing vessels etc.) used by the chemical company meets the company’s, client and supplier requirements and standards.

Our vetting database system automates these processes. The system consists of a web application providing access to an internet database containing the vetting data. Of course security and access management is critical because of the sensitivity of the information.

The inspection reports are automatically downloaded from various industry data sources. The pre-screening / evaluation process will be automatically started based on pre-defined company specific requirements. Normally templates of questions are created by the company’s vetting specialists, for example a distinction can be made between mandatory and desirable questions. As a result of this automated process, the inspected object (for example a seagoing vessel) will meet the requirements and can be listed on a list of suitable ships or the ship will not meet the requirements and the ship will be rejected and black listed.

Our vetting database system is able to collect inspection reports from various chemical & oil transport industry databases. An permanent interface/connection will be established to these databases.

The vetting database can connect to various data sources, such as:

  • CDI Marine
  • EBIS
  • OCIMF SIRE
  • OCIMF TMSA
  • Equasis
  • LR-Fairplay / IHS Maritime
  • Etc. etc.

Our vetting database system automatically processes the electronically retrieved data based on (a) company specific template(s). The vetting users will be able to view and print the vetting data. The users can navigate to and browse through the different reports from the various sources.

Various report maintenance options allow the vetting specialist to update certain report details, such as:

  • Change expiry date of reports (with reason date change)
  • Change report status (Active, Archived etc.)
  • Change question answers, both the initial answer as the corrected answer will be displayed in the report. The system will ask to enter a text box to include the reason of this change.

The vetting database system also offers a function to upload various attachments like work documents, technical requirements, certificates and audit reports.

The vetting database system also includes functions to (electronically) submit self-inspection reports. These reports can be directly submitted on internet to the vetting database by the internal company inspectors.

In addition the vetting specialists can add specific information to the ships, for example additional review information, observations or corrections if corrective actions have been taken. All updates to data is logged via an audit trail.
